Cancellation & No-Show Policy
We value your time and are committed to providing safe, reliable, and professional nonemergency medical transportation. To ensure efficient scheduling and dependable service for all clients, the following Cancellation & No-Show Policy applies to all scheduled trips with Nurse Navigator Transportation LLC.
24-Hour Cancellation Requirement
Clients must cancel or reschedule their transportation at least 24 hours prior to the scheduled pickup time.
Cancellations may be made by:
Phone
Text message (to the business phone number listed above)
A confirmation will be provided once the cancellation request has been received.
Late Cancellation Fee
Cancellations made less than 24 hours before the scheduled pickup time may result in a $50 late cancellation fee. This fee helps offset costs already incurred, including driver scheduling, vehicle preparation, and operational expenses.
No-Show Policy
A no-show occurs when:
The client does not appear at the designated pickup location, or
The client is not ready for pickup and departure within 10 minutes of the scheduled pickup time, and
No prior cancellation notice was received.
No-shows may be charged up to the full trip amount, unless prohibited by payer guidelines.
Exceptions
Fees may be waived for circumstances beyond the client’s control, such as medical emergencies or facility-initiated appointment changes. Documentation may be required.
Minnesota Program Compliance
For trips funded by Minnesota Health Care Programs (MHCP) or other third-party payers, cancellation and no-show fees will be applied only when permitted under applicable state and payer regulations.
By scheduling transportation services with Nurse Navigator Transportation LLC, clients acknowledge and agree to this Cancellation & No-Show Policy.
Nurse Navigator Transportation LLC reserves the right to update this policy as needed to remain compliant with applicable regulations.
